"For us, this was never just a college project. It was personal. We were all tired of the old systemβrunning around with paper forms, waiting for days, never knowing the status. We thought, 'Why can't we solve this ourselves with technology?'
Our goal was simple: to build something that would make life easier for every student and faculty member at KCE. Every feature, every late-night coding session, every bit of our effort was poured into making this a reality. This portal is the result of our team's shared passion and hard work, and I feel immense pride in what we have built together."

At Karpagam College of Engineering, the process of applying for leave was a manual, time-consuming ordeal. Students had to fill out physical forms, chase down faculty for signatures, and wait days for an approval status, often without any visibility into the process. This created frustration, delays, and an administrative bottleneck. We knew there had to be a better way.
Our goal was to create the KCE Leave Portal, a one-stop digital solution to completely revolutionize this process. We aimed to build a system that was:
- Instant & Accessible: Apply for and approve leave from anywhere, at any time.
- Transparent: Real-time tracking for students.
- Efficient: A streamlined workflow for faculty and administration.
- Secure & Scalable: Built on a robust architecture to protect data and handle campus-wide usage.
We built a powerful, intuitive, and feature-rich MERN stack application that transformed our vision into reality.
- Fully Digital Workflow: From application to final approval, the entire process is 100% paperless.
- Multi-Level Role-Based Access Control (RBAC): A fortress of security with 5 distinct user roles: Student, Staff, HOD, Admin, and Security. Each role has a tailored dashboard and specific permissions.
- Real-time Progress Dashboard: A beautiful, intuitive UI that allows students to track their leave application's journey through the approval chain (
AppliedβStaff ApprovalβHOD Approval). - Automated PDF Generation: Once a leave is approved, the portal generates an official, downloadable PDF for record-keeping.
- Blazing-Fast Performance: We obsessed over performance. The frontend uses Lazy Loading to ensure instant page loads, while the backend is optimized to handle high traffic with minimal latency.
- Smart Storage Management: An intelligent system that compresses rarely used archival data, ensuring the application remains memory-efficient and cost-effective over the long term.
We chose a cutting-edge stack to build a modern, reliable, and scalable application.
We were honored to have our project selected and showcased at the YUVA 2025 Event Expo. It was an incredible experience to present our solution to a wider audience and receive recognition for its innovation and real-world application.
This project is the product of immense teamwork and individual brilliance. Every member was an owner, a leader, and an innovator.
Dhanush was the engine of the project, who built its solid foundation and backbone. He was the central pillar from which everything else was built. He seamlessly blended leadership with deep technical expertise, engineering the entire backend from scratch and translating complex requirements into a robust, scalable Node.js application. His mastery of MongoDB allowed him to design a highly efficient database schema. He single-handedly built all the APIs, implemented the JWT-based security layer, and meticulously crafted the overall user workflow. As the team's integrator, he masterfully combined everyone's work, optimized the application for peak performance, and led the final deployment.
Praveen Kumar was the artistic soul of our project. He sculpted the user experience, ensuring every click and interaction felt intuitive and polished. He owned the visual identity, from the stunning initial Splash Screen to the comprehensive Admin dashboard. With a keen eye for performance, he implemented lazy loading across the frontend, making the application feel incredibly responsive. He also built a robust client-side error handling system, ensuring a smooth and frustration-free experience for all users, and meticulously ensured the entire application was pixel-perfect on any device.
Harini was the heart of the student experience, dedicating herself to crafting their entire digital world within the portal. She architected and developed the entire Student Module, creating a clean, intuitive, and empowering dashboard. Her work allows students to effortlessly apply for leave, upload documents, and watch the status of their application in real-time. She ensured that the most frequent users of our system would have an experience that was not just functional, but delightful.
Shankar was the Artistic Architect of the faculty's Portal, dedicating himself to forging a world of clarity and effortless control for them. He engineered the complete Staff Module, creating a powerful yet streamlined interface that empowers staff to manage leave requests with maximum efficiency. His work is the crucial link in the approval chain, providing faculty with all necessary data at a glance to make rapid, informed decisions and keep the entire system flowing.
Praveen C was the master of the application's brain. He tackled two critical domains with precision: developing the specialized HOD Module (both frontend and its backend APIs) and, most crucially, architecting the entire client-side state management using Zustand. This created a single, reactive source of truth, ensuring data consistency across the app, eliminating prop-drilling, and making the UI incredibly fast and predictable.
Praveen M was the foundational pillar of our project. As our Blueprint Architect, he was instrumental in the crucial early stages of project planning, brainstorming innovative ideas, and defining the core application structure. He laid the technical blueprint we all built upon. Furthermore, he innovated the complex PDF generation feature, a critical requirement for providing students and staff with official, hard-copy records of approved leaves.
